This Privacy Notice and Terms of Use explains how Yemen Chevening Hub YCH uses its website, collects and processes personal data, manages media materials, and sets the terms that apply to users, visitors, participants, contributors, volunteers, and community members.

This document is prepared in line with the general principles of the UK General Data Protection Regulation UK GDPR and the Data Protection Act 2018.   1. About Yemen Chevening Hub YCH

Yemen Chevening Hub YCH is an independent platform led by a dedicated group of Yemeni Chevening alumni. It brings together Chevening alumni and scholars from Yemen and beyond, along with alumni-related community initiatives, to promote leadership and support sustainable impact in Yemen and beyond.

YCH is an independent, community-based, non-profit platform. It is not a government body and does not officially represent the Chevening Scholarship Programme, the UK Government, the Foreign, Commonwealth and Development Office FCDO, or any donor, funder, or grant-making body unless this is expressly stated in writing.

The YCH website is used for informational, educational, community, and communication purposes related to YCH activities, initiatives, events, programmes, and community impact.

  1. Use of the Website

By accessing or using this website, users agree to use it lawfully, responsibly, and respectfully. Users must not misuse the website, submit false or misleading information, interfere with the operation of the website, attempt unauthorised access to systems or data, or use YCH content in a way that may harm YCH, its members, participants, partners, or the wider community.

YCH reserves the right to update, edit, remove, restrict, or correct website content where necessary for accuracy, safety, governance, legal compliance, reputational protection, or organisational integrity.

YCH may collect personal data that users provide directly through registration forms, contact forms, email communication, programme participation, event attendance, surveys, feedback forms, applications, or other interactions connected to YCH activities.

This may include name, email address, phone number, organisation, workplace, university or study information, country or general location where relevant, programme or event registration details, professional, educational or volunteering background, photos, videos, testimonials, feedback, participation-related materials, and any other information voluntarily submitted by the user.

The website may also collect limited technical data, such as browser type, device information, IP address, pages visited, general usage data, and cookies or similar technologies.

Photographs and videos may be personal data where individuals can be identified from them. The ICO explains that where someone can be recognised from a photograph, it is usually considered personal data, and a valid lawful basis is required for its use. (ICO)

YCH may use personal data for the following purposes:

Managing programmes, activities, events, training, mentoring, and community initiatives; communicating with participants, applicants, members, volunteers, alumni, and visitors; processing registrations, applications, feedback, and enquiries; sending updates, announcements, newsletters, or relevant information; organising events, sessions, workshops, and community activities; documenting activities and demonstrating community impact; highlighting alumni-related and community initiatives; preparing internal reports, public updates, presentations, and impact materials; improving the website, services, and user experience; maintaining records for governance, safeguarding, accountability, and organisational integrity; and responding to legal, regulatory, or security requirements where applicable.

YCH will seek to use personal data only for appropriate, proportionate, and relevant purposes connected to its independent, community-based, educational, and non-profit objectives.

  1. Lawful Basis for Processing

YCH will process personal data only where there is an appropriate lawful basis under UK data protection law. Depending on the context, YCH may rely on one or more of the following lawful bases:

Consent, where a user or participant has clearly agreed to a specific use of their information.

Legitimate interests, where processing is necessary for YCH’s legitimate community, educational, non-profit, communication, documentation, reporting, governance, archiving, safeguarding, or impact-sharing purposes, provided that such interests are not overridden by the rights and freedoms of the individual.

Contractual or pre-contractual necessity, where processing is necessary to respond to a user’s request, manage registration, or deliver a programme, activity, or service requested by the participant.

Legal obligation, where processing is necessary to comply with applicable legal or regulatory requirements.

  1. Participation in YCH Programmes and Activities

YCH programmes, training activities, mentoring sessions, educational initiatives, and community events are generally provided on a voluntary, free-of-charge, and non-profit community basis.

Before joining YCH programmes, activities, or events, participants may be asked to complete a registration form, acknowledgement, or participation declaration confirming that they understand the independent, community-based, and non-profit nature of YCH and the purposes for which their personal information and participation-related materials may be used.

By registering for or participating in YCH programmes, participants acknowledge and agree that YCH may collect, use, retain, and process the information they provide, including their name, contact details, professional or educational background, participation details, feedback, testimonials, and related programme information, for programme administration, communication, follow-up, evaluation, safeguarding, reporting, archiving, and demonstrating community impact.

Participants are responsible for ensuring that the information they provide is accurate and that they do not submit unlawful, misleading, harmful, or third-party confidential information without proper authority.

  1. Photography, Video and Media Use at YCH Events

YCH may photograph, film, document, publish, or use media materials from its own programmes, training sessions, mentoring activities, educational initiatives, community events, meetings, and public or private activities.

Such materials may include photos, videos, screenshots, group images, event images, testimonials, quotes, programme highlights, participant contributions, and other media materials related to YCH activities.

By registering for or participating in YCH activities, participants acknowledge and agree that YCH may take, use, publish, repost, retain, and archive photos, videos, testimonials, and participation-related media materials showing or referring to their participation, where appropriate, for documentation, archiving, reporting, non-commercial community communication, promotion of YCH initiatives, and impact-sharing purposes.

Such materials may be published on the YCH website, official social media platforms, newsletters, reports, presentations, public updates, event summaries, and other official communication channels.

YCH does not sell participants’ personal data, images, videos, or media materials. YCH does not use such materials for commercial advertising, party-political campaigning, harmful, misleading, defamatory, exploitative, or inappropriate purposes.

YCH will seek to use photos, videos, and media materials respectfully, proportionately, and in a manner consistent with its community, educational, non-profit, and impact-oriented objectives.

  1. Reposting Official or Publicly Available Materials

YCH may repost, share, quote, refer to, or use photos, videos, articles, announcements, event images, public updates, or other materials that have already been publicly published by official Chevening channels, public event organisers, partner organisations, universities, embassies, public bodies, media outlets, or other official or publicly available sources.

YCH may do so for non-commercial community communication, documentation, archiving, reporting, education, awareness, and impact-sharing purposes.

When reposting or referring to official or publicly available materials, YCH will seek to respect the original context, credit the source where appropriate, avoid misleading edits, and avoid using materials in a harmful, political, commercial, defamatory, or inappropriate context.

Reposting official or publicly available materials does not mean that the individuals appearing in those materials formally endorse YCH, unless such endorsement is expressly stated.

YCH is not responsible for the original publication of such materials by official channels, third-party organisations, public event organisers, media outlets, or other external sources. YCH is also not responsible for the continued availability, removal, correction, or control of materials hosted on third-party websites, official platforms, social media pages, or external channels outside YCH’s control.

Individuals who wish to challenge or request removal of the original publication should contact the original publisher directly.

  1. Requests About Photos, Videos or Published Materials

Participants, visitors, or individuals who have concerns about the use of specific photos, videos, or media materials published by YCH may contact:

YCH will review such requests reasonably, respectfully, and in line with applicable UK data protection principles.

However, a request for removal, correction, restriction, or review does not automatically require removal in every case. This is particularly relevant where the material was lawfully collected, published with prior participant acknowledgement or permission, used for non-commercial community documentation, reporting, archiving, or impact-sharing purposes, is necessary for YCH’s legitimate interests, or was originally published by official or third-party sources.

Where appropriate and reasonably practicable, YCH may remove, replace, crop, blur, anonymise, restrict, or limit the future use of specific materials. YCH may also decide to retain or continue using materials where it has a lawful basis and where its legitimate interests are not overridden by the individual’s rights and freedoms.

YCH will not normally remove material solely because the same material is publicly available elsewhere or because a third party has republished it. YCH cannot remove or control materials from third-party websites, official channels, partner platforms, media outlets, search engines, screenshots, downloads, or other external sources outside its control.

Under UK GDPR, the right to erasure is not absolute and applies only in certain circumstances. Where an organisation relies on legitimate interests, the right to erasure may apply if the individual objects and there is no overriding legitimate interest to continue processing. (ICO)

YCH does not sell personal data.

YCH may share personal data only where necessary and appropriate with trusted third parties that support the operation of the website or delivery of YCH activities. These may include website hosting providers, email and newsletter service providers, registration or form-management platforms, technical support providers, event organisers, delivery partners, professional advisers, or legal and regulatory authorities where required by law.

YCH may work with participants, alumni, volunteers, partners, and service providers in different countries. Photos, videos, reports, publications, and impact-related materials may be retained for longer periods where they form part of YCH’s organisational history, public record, reporting evidence, archive, or legitimate community impact documentation.

Where data is no longer needed, YCH will seek to delete, anonymise, archive, or securely restrict access to it, as appropriate.

Under UK data protection law, individuals may have rights in relation to their personal data.
